General information (for the program)
General information defines basic information about programs, such as their name, category, and the dates they are offered within the district. Once a program is created, you can edit general information such as the program description, start and end dates, and enrollment information.
Note: Use Basic or Detail searches to help locate programs [>>] when editing, deleting or copying programs.

In the Admin menu, click District Setup. The District Setup page appears. |

Under Program Management, click Program Setup. The Program Setup page appears. |

To add a program, click Add. The General Info page appears. |
|

To edit a program, select the program you want to modify and click Edit. The General Info page appears. |
|

To delete a program, select the program to be deleted and click Delete. Click OK in the confirmation dialog and skip the remaining steps. Notes: |

You can only delete one program setup at a time. |

|
You can only delete a program setup if the program has never been assigned participants. If you want to discontinue a program for future years, enter an end date for the program rather than deleting the program setup. |

To copy a program, select the program you want to copy and click Copy. Enter a unique date range that does not overlap another program setup with the same program category/program combination and click OK. The new program displays in the program list. Skip the remaining steps. Notes: |

You can only copy one program setup at a time. |

Under Program Organization, enter the information, which includes: |

Program category - Select a Program Category. |
|

|
Program - Select a program. The options available depend on the program selected from the Program Category dropdown. If it is not available from the Program dropdown, make sure you creted a setup list item for that program. See Working with Program Management Setup Lists [>>]. |

Program Group - If required, select a program group. |
|

|
Program Short Code - Displays the program short code defined in the Program setup list for the selected program. |
|

|
Program State Short Code - Displays the program state short code defined in the Program setup list for the selected program. |

|
Additional Description - Enter any additional information about the program. |

Under Program Enrollment, enter the information, which includes: |

Allow Student Assignment - Select this option to display the program on the Manage Programs page and allow students to be assigned to the program. Note: If this option is not selected, the program is not included in the program search results when you manage programs. |
|

|
Start Date - The date the program begins accepting applications (using the format mm/dd/yyyy). Note: If you change the program dates after students are assigned to program sessions and the new dates are more restrictive, the program session dates for the students are adjusted. |
|

|
End Date - The date the program stops accepting applications (using the format mm/dd/yyyy). Note: If you change the program dates after students are assigned to program sessions and the new dates are more restrictive, the program session dates for the students are adjusted. |

|
Available Grade Levels - Select one or more grade levels for which the program is recommended. Note: These values are used for reference only. To restrict a program to a specific grade level, you must create an eligibility rule. For more information, see Define eligibility rules [>>]. |

Use grades for sessions - To restrict the grades available on the Session Details page to the grades specified in Available Grade Level, select this option. |
|

|
Control enrollment - If this program will be used to control enrollment at schools, select this option. For more information about controlled enrollment at schools, see Controlling enrollment in schools [>>]. Note: If you change this setting after students are enrolled in the school, the change only affects new enrollments. Students already enrolled in the school are not affected. |

|
Create AV Exception - Applies to schools using address validation. If the Control Enrollment option is selected and you want PowerSchool SMS to automatically create preapproved address validation exceptions for students who are offered positions in schools that are not their zoned schools, select this option. Note: This option only applies to programs that control enrollment in schools. If you change this setting after students are assigned to the program, the change only affects new applications. Address validations exceptions would not be created for any students already assigned to the program. |

Under Instructional Time, enter the information: |

Instructional minutes: by class/student - For reporting purposes, enter the number of minutes students in the program class are expected to receive each day. |
|

|
Instructional minutes: by school yr/student - For reporting purposes, enter the number of minutes students in this program are expected to receive during the school year. |

Under Required Documentation, select any documents students must submit before they can be offered a position in the program. Note: These values are for reference only and do not affect student eligibility for the program. To base program eligibility on documents received, create an eligibility rule. For more information, see Define eligibility rules [>>]. |

Under Interaction with Other Programs, select any programs that interact with this program. For example, if meals will be served during a program. Note: These values are for reference only. Students must apply and be offered and assigned to each program individually. |

To save and continue working with the program, click Apply or to save and return to the Program Setup page, click OK. |
