Session and locations

Sessions define the date, times, and locations where programs are offered within the district. You can assign programs to schools or to off-campus facilities.

Note: If you plan to assign programs to off-campus facilities, set up these facilities before you add session and locations. For more information, see Setting up off-campus facilities [>>].

When you create a program, PowerSchool SMS automatically creates a single session for the program. You can use this session or create additional sessions to assign the program to schools or off-campus facilities.

Program sessions are calendar specific and cannot cross calendars. They must start and end within the same calendar year. If the program setup dates cross calendars, the dates for the initial session are adjusted to fall within one calendar. If the program setup start date is:

= Within the active calendar, then the program session end date is adjusted to the active calendar end date.
= Within the planning calendar, then the program session end date is adjusted to the planning calendar end date. When you create a planning calendar, program sessions are copied to the planning calendar the first time Next-Year Preparation is run. Sessions are not updated when subsequent nightly processes are run for Next-Year Preparation. Any changes made in either the active or planning calendar do not affect program sessions in the other calendar.

Note: If the program starts in a future calendar, i.e., after the planning calendar end date, sessions are not created.

If students have not been assigned to sessions, you can modify the session details and delete the session, as required. If the students are assigned to a session, you must remove participating students from the session, before you can delete it. For more information, see Removing participants from programs [>>].

A The session start and end dates must be on or after the program enrollment start date set on the General Information page and both the start and end dates for the session must be in the same calendar. Sessions cannot cross calendars.
Schools assigned this program session can change the session start and end dates for their school.

If necessary, the school session start date is modified to fit within the new district session dates, and, if students have already been assigned to the session, their start date is also adjusted to fit with the new session dates.
