Entering and editing school setup information

For each program assigned to the school, set up school information and assign staff to the programs.

Note: You can change the school contacts for programs in both the active and planning calendars. However, since programs are date-based rather than calendar-specific, changes are made to the overall program setup and affect the program for all calendars included within the program start and end dates.

Setting up school information

At the school, school administrators can specify school contacts and set the dates and times for program sessions offered at their school.

To set up school program information:You can do this if your role is School Administrator.[SA]

In the Admin menu, click School Setup. The School Setup page appears.

Under Program Management, click Program Setup. The Program Setup page appears.

Search for and select the program you want to set up.

From the Actions menu, click Setup School Info. The Setup School Info page appears.

To add a contact, click Add School Contact from the Actions menu.

To edit a contact, under School Program Contacts, select the contact you want to edit.

To delete a contact, under School Program Contacts, select the contact you want to delete. Click Delete School Program Contact from the Actions menu. Click OK in the confirmation dialog and skip the remaining steps.

Enter or edit the school program contacts, which includes:

Name - Select staff member's name.

Role - Select a role description for the staff member.

Phone number - The selected staff member's phone number, which is automatically populated from the selected staff member's staff personal record.

Email address - The selected staff member's email address, which is automatically populated from the selected staff member's staff personal record.

Under Program Sessions, select a session and enter or edit the following information if needed:

Start date - Enter/edit the start date for the program session if needed.Both the start and end dates must be within the same calendar.

End date - Enter/edit the end date for the program session if needed. Both the start and end dates must be within the same calendar.

Instructional minutes/class - For reporting purposes, enter the number of minutes students in the program class are expected to receive. Note: This value is for reference only. For example, you can use this value in a custom report.

To save and continue working with the program, click Apply or to save and return to the Program Setup page, click OK.

Assigning staff to programs

When the district sets up programs, it specifies staff who are available and qualified to be assigned to the program. At the school, you must assign a specific staff member to the program session offered at your school. You can assign a staff member from your school or a staff member the district specified as qualified to teach the program. You can search for qualified teachers and/or teachers at your school. To edit staff assignments to programs:You can do this if your role is School Administrator.[SA]

Under Program Management, click Program Setup. The Program Setup page appears.

Search for and select a program.

From the Actions menu, click Setup School Info. The School Setup Info page appears.

Select a program session and click Assign Staff from the Actions menu. The Assign Staff page appears.

To add staff, search for and select a member of the staff using the Basic or Detail search. For more information, see Searching for staff [>>]. Click Add. Note: If duplicate records exist, select the staff without an (X) by their name.

To remove staff, select the staff member and click Remove.

Searching for staff

When you assign staff to program sessions offered at your school, you may want to assign a staff member from your school, a district-approved instructor for the program, or a staff member at your school who is also approved as an instructor by the district. You can use the Staff Search feature to help you identify an appropriate staff member to assign to your program sessions.

To identify staff at your school who are district-approved for the program:You can do this if your role is School Administrator.[SA]

Under Program Management, click Program Setup. The Program Setup page appears.

Search for and select a program.

From the Actions menu, click Setup School Info. The School Setup Info page appears.

Select a program session.

From the Actions menu, click Assign Staff.

Under Staff Search, set the following search criteria:

School Staff equals Yes

=

District Qualified Staff equals Yes

Click Search.

The search results include only those staff members who are both designated as qualified for the program by the district and assigned to your school.
