Queries

A query enables you to search for data in most fields in PowerSchool SMS, and then display that data - the query results - in a grid of columns you specify.

Note: To use queries, the Advanced Query feature must be installed. For instructions on installing Advanced Query, see the Advanced Query Installation Guide (available at https://support.powerschool.com/article/71944).

When you build a query definition [see Building a query >>], you are able to search multiple schemas and produce results that contain data from those schemas. For example, you could create a query that shows all students in the district (Student schema) who are suspended (StudentDiscipline schema) and receive free or reduced price lunch (StudentFederal schema).

You can add filters [>>] to queries. Filters further refine the search criteria of a query and enable you to have one query with a choice of different search refinements. For example, you could add a filter to the query from the above example so that the query results show only male students who are in Grade 8 who meet the query criteria, or only female students in Grade 10 who meet the criteria. A query can be run with or without filters, and can be configured so that the user is prompted to select a filter when he or she runs the query. Filters can be used in multiple queries.

Queries are not dependent on calendars; switching between the Active and Planning Calendars does not change the query results. However, you can make a query calendar-specific by selecting the desired calendar as part of the query definition.

A District Administrator can create and modify queries and categories used across the district. With the appropriate permissions [>>], a School Administrator can create queries for his or her school.
